02. Thorough inventory

During the inventory phase, we move from “feelings” to hard facts. We map out exactly where data is stored, how it is used, and which systems need to communicate with each other. This investment will more than pay for itself during the rest of the process.

Mapping processes

We walk you through your most important processes: from lead to customer, from quote to invoice, and from service request to solution. In doing so, we look at:
• what steps are involved
• what systems are used in each step
• what information employees need to do their jobs properly

This allows us to quickly see where information gets stuck or is entered twice.

Analyzing systems and data flows
Next, we dive into your systems: current CRM, ERP, financial package, work orders/planning system, dealer management system, lease package, telephony, industry software, Excel lists. We map out:
• which data is stored in which system
• which data should be leading
• which exports, imports, or manual actions are currently necessary

We do this together with your key users and (where necessary) your IT department or other software suppliers.
Opportunities and risks visible

Based on this analysis, we clarify:
• where you can achieve immediate gains with links
• where there are risks in data quality or working methods
• what dependencies exist between systems
This prevents us from encountering unexpected limitations later during construction.

After the inventory, you will have:
• a clear overview of your processes and systems
• insight into how data currently flows and where things go wrong
• a solid basis for the design of your new, integrated environment
